How buyer portals work

Finding and responding to opportunities through TenderLink

A buyer portal is an online platform an organisation uses to publish and manage tender opportunities. TenderLink connects suppliers with opportunities from participating buyer portals and other procurement sources across Australia and New Zealand.

If you’re new to TenderLink, understanding how buyer portals work can help you find opportunities, access tender documents and know when you may need to register with another procurement platform.

What is a buyer portal?

A buyer portal is an online procurement platform an organisation uses to publish tenders, manage supplier communications and receive submissions. Many councils, government agencies, universities and private organisations use TenderLink buyer portals to manage their procurement. When a buyer publishes a tender, suppliers can view documents, ask questions and submit responses through the portal.

How does TenderLink connect suppliers and buyer portals?

TenderLink monitors and publishes opportunities from thousands of buyer sources across Australia and New Zealand. As a subscriber, you’ll get notified about opportunities that match your selected industries and locations.

When an opportunity is published through a participating TenderLink buyer portal, you can typically access it directly from your tender notification or through your TenderLink dashboard — so you spend less time searching across multiple websites and more time on opportunities relevant to your business.

Do I need to register with every buyer portal?

Not always. Your TenderLink subscription gives you a centralised login for many participating buyer portals, so you can often access tender documents and opportunities without creating a separate account for each buyer organisation.

Some procurement portals operate independently and may require their own registration. When that’s the case, you’ll be directed to the buyer’s website and prompted to register using your email address.

Why do some opportunities have different reference numbers?

The reference number can help you identify where an opportunity came from.

Buyer portal opportunities

References that begin with three or more letters are typically associated with opportunities published through a TenderLink buyer portal. You can generally access these through your TenderLink account.

Market-monitored opportunities

References that begin with “AU” or “NZ” are typically opportunities identified through our market monitoring service. These may direct you to an external procurement website for more information.

What can I do inside a buyer portal?

Depending on the buyer’s procurement process, you may be able to:

  • View tender documents
  • Download specifications and supporting files
  • Register your interest
  • Submit questions during the tender period
  • Receive tender updates and addenda
  • Lodge your submission electronically

Each buyer organisation controls its own procurement process, so available features can vary between portals.

How do I find buyer portals relevant to my business?

Your subscription can be tailored to match the industries, regions and procurement sources most relevant to your business. If you’re receiving opportunities that aren’t relevant, or you’d like to expand your coverage, contact our support team to review your settings.

Do I need a separate login for each buyer portal?

No. Your TenderLink subscription gives you one centralised login for every participating buyer portal covered by your plan – no need to juggle multiple accounts and passwords.

Why am I being asked to register on another website?

Not every opportunity comes through a TenderLink buyer portal. Some are identified through our market monitoring service, which may direct you to register directly with the buyer’s own procurement website using your email address.

What’s the difference between TenderLink and a buyer portal?

TenderLink helps you discover and track opportunities from multiple procurement sources. A buyer portal is the platform an organisation uses to publish and manage its own tenders.

How do I know if an opportunity is from a buyer portal?

Check the reference number in your tender notification – it can help identify whether the opportunity originates from a TenderLink buyer portal or an external procurement source.
